Privacy Policy

The short version. Kodie runs on your computer. We don't receive your chats, memory, email, calendar, voice, connected-account details or API keys. Kodie sends data only to the services you connect, when you use them. The only things we collect are what you type into our waitlist form and the basic visit logs any website has.
This policy covers the Kodie app and the website at kodiemanagement.com (together, “Kodie”, “we”, “us”).
1. What Kodie keeps on your computer
- Settings, projects, memory, chat history and check history, in Kodie's data folder.
- Passwords, API keys (including an ElevenLabs key), email app passwords, private calendar links and your notification topic, in Windows Credential Manager (encrypted and tied to your Windows login), with only a pointer in Kodie's files.
- Chat history you import from ChatGPT, Claude or Grok, as a compact copy for answering questions about your past work.
- Facts Kodie suggests learning about you, which stay suggestions until you approve them. Kodie leaves out things that look like passwords, account numbers, health or money details before suggesting anything.
- Email summaries, cached for about 10 minutes. Kodie reads your inbox in read-only mode, never marks anything as read, and never sends, moves or deletes mail.
2. What leaves your computer, and to whom
Only when you turn a feature on:
- AI providers you connect (such as Anthropic, Google, OpenAI and xAI) receive your messages and the context Kodie adds to them. That context can include your approved memory, check results, your calendar, email summaries and relevant parts of your imported chat history. When you ask the council, the same question goes to each AI you picked. Each provider handles that data under its own terms. Some free tiers, including Google's Gemini free tier, may use it to improve their products and may have people review it. Local models (Ollama) keep everything on your computer.
- “Learn about me” reads only your own words from imported chats. In local mode (the default) that stays on your computer. If you choose a cloud AI for it, those excerpts go to that provider.
- Your email provider (such as Gmail, Outlook, iCloud or Yahoo) is contacted with the app password or Microsoft sign-in you give Kodie. If you choose AI summaries instead of local ones, message senders, subjects and short previews go to the AI you picked.
- Apps and websites you connect receive your login when Kodie signs in to read them.
- Calendar providers are contacted through the private calendar links you provide. Kodie only reads your calendar and never changes it.
- ElevenLabs, only if you choose it as Kodie's voice and add your own ElevenLabs key, receives the text Kodie is about to say, under ElevenLabs' own terms. The built-in voices make speech on your computer.
- Voice commands are turned into text on your computer. Your microphone audio is not sent anywhere. Spoken replies are also made on your computer.
- ntfy.sh, if you turn on push notifications, receives the text of each notification.
- Cloudflare, if you set up phone access, carries traffic between your phone and your computer and handles the sign-in page.
- Downloads. Installing Kodie, or adding optional parts like voices, downloads software from kodiemanagement.com, GitHub, the Python Package Index and the model's host. Like any download, those servers see your IP address.
3. What we collect
- Waitlist. If you join the waitlist, we collect your email address and your answers (such as which AIs you use). The form is run by Tally, which stores it for us. We use it only to send your invite and Kodie news, and to decide what to build next. We don't sell it. You can unsubscribe or ask us to delete it at any time.
- Website. This site is hosted by Cloudflare, which processes basic request data (such as IP address, browser type and pages visited) to deliver and protect the site. If we count visits, we use Cloudflare Web Analytics, which doesn't use cookies or track you across sites.
- The app. Nothing. The Kodie app has no analytics or tracking, and its usage statistics are turned off. If we ever add crash reports, accounts or payments, we'll update this policy first and ask before sending anything.

5. How we protect it
Secrets are stored in Windows Credential Manager. Kodie's own screens are reachable only from your computer unless you set up phone access, which puts a sign-in in front of them. The installer checks that the file it downloads matches the one we published. No system is perfectly secure, and your computer's security is up to you.
6. Your choices
- Turn off any connection, or delete memory and imported history, in Kodie's Settings.
- Delete saved secrets in Windows Credential Manager (entries starting with “Kodie”).
- Delete all of Kodie's data by uninstalling it and removing its data folder.
- For data already sent to an AI provider or other service, use that service's own privacy options.

7. Children
Kodie is not meant for anyone under 18, and we don't knowingly collect data from children.
8. Changes
We'll post any update here with a new effective date, and show important changes in Kodie before they take effect.
